1. Introduction
This policy outlines the terms, responsibilities, and working principles that govern our engagement with Clients across website design, web applications and custom digital systems.
By activating a project or making any payment toward a quoted service, the Client confirms that they have read, understood and agreed to be bound by this Policy.
2. Authority to Contract
The Client confirms that they have full legal authority to enter into this agreement on behalf of themselves, their company, or organisation.
3. Client Responsibilities
The Client agrees to:
1. Provide Required Inputs
Provide all requested information, content, system requirements, credentials, and resources necessary to commence design or development, in the formats specified by Platinum IT Solutions.
2. Timely Feedback & Approvals
Review deliverables at agreed milestones and provide consolidated feedback within the communicated timelines.
3. Scope Adherence
Any change of direction, features, functionality, or design after approval of a project phase may result in additional costs or revised timelines.
4. Decision Ownership
If the Client elects to terminate or materially change the project after work has commenced, all work done to that point shall be fully chargeable.
4. Project Phases & Reviews
Projects are typically delivered in structured phases, which may include:
- Discovery & Requirements Analysis
- UI / UX Design
- Development & Integration
- Testing & Quality Assurance
- Deployment
Upon completion of the first approved phase, the Client may be granted access to a live preview, staging environment, or demo system.
Approval of any phase constitutes acceptance of that phase's deliverables.
5. Service Provider Commitments
Platinum IT Solutions commits to:
- Deliver professional, high-quality digital solutions
- Adhere to agreed timelines where client dependencies are met
- Apply industry best practices and ethical standards
- Maintain confidentiality of client information and systems
6. UI, UX & System Design Standards
We design and develop:
- Responsive, device-adaptive interfaces
- Secure, scalable, and performance-oriented systems
- User-centric experiences guided by modern UI/UX principles
Technologies may include (but are not limited to): HTML, CSS, JavaScript, PHP, Python, APIs, databases, cloud services, and modern frameworks appropriate to the project scope and budget.
7. Design & Development Tenure
Digital projects are creative and technical engagements. As such:
- Fixed timelines may not always be feasible
- Project duration depends on scope clarity, feedback cycles, and resource availability
- Estimated timelines will be provided and may be adjusted by mutual agreement
8. Content, Data & Assets
Unless otherwise agreed:
- The Client is responsible for supplying all text, images, branding assets, datasets, and third-party licenses
- Assets must be provided in high-quality, editable digital formats
- Data accuracy and legality remain the Client's responsibility
9. Testing & Quality Assurance
9.1 Web & Browser Testing
We test solutions on current versions of major browsers including Chrome, Edge, Firefox, and Safari.
9.2 Mobile & Device Testing
We test on popular Android and iOS devices to ensure appropriate performance and usability.
9.3 System Testing
For web apps and custom systems, testing may include:
- Functional testing
- User acceptance testing (UAT)
- Performance and security checks (where applicable)
10. Orientation, Training & Support
Project fees do not automatically include:
- User training
- System handover workshops
- Ongoing technical support
These services may be provided under a separate support or maintenance agreement.
11. Hosting, Infrastructure & Third-Party Services
- Platinum IT Solutions utilises modern cloud-based infrastructure
- We may recommend hosting, domain, or third-party services based on experience
- Costs for hosting, licenses, APIs, and third-party platforms are separate from development fees
Where a Client elects to use third-party services outside of Platinum IT Solutions’ recommendations, Platinum IT Solutions shall not be responsible for the setup, configuration, migration, performance, downtime, or delays arising from such services.
Any assistance required for third-party hosting setup or migration will be subject to separate discussion and additional fees.
12. Search Engine Optimisation (SEO)
- Basic SEO best practices may be applied where relevant
- We do not guarantee search engine rankings or traffic volumes
- Advanced SEO services are offered under separate agreements
13. Marketing & Digital Promotion
Development of a website or system does not include marketing or promotion.
Marketing services may be engaged separately under defined scope, timelines, and fees.
14. Changes, Enhancements & Maintenance
- Any changes after deployment are billed separately
- Feature enhancements, system upgrades, and maintenance require a new scope or support agreement
15. Intellectual Property & Portfolio Use
Unless otherwise agreed:
- Upon full payment, the Client is granted usage rights to the delivered system
- Platinum IT Solutions retains the right to display completed work, screenshots, and system descriptions in its portfolio and marketing materials
16. Legal Liability & Limitations
- We follow professional and industry standards but cannot guarantee error-free systems
- Platinum IT Solutions shall not be liable for indirect, incidental, or consequential damages
- Client liability is limited to fees payable under this agreement
If any provision of this Policy is found unenforceable, the remaining provisions shall remain valid.
17. Payment Terms
- All proposals are quoted in USD unless stated otherwise
- A non-refundable deposit of at least 50% is required to activate a project
- The balance is payable within 7 days of invoice, regardless of project stage, unless alternative mutual arrangements are made.
- Overdue payments may attract interest at 15% per month
Accepted payment methods include:
- Cash
- Mobile Money (e.g. EcoCash)
- Electronic bank transfers (ZIPIT/RTGS/Debit Card etc.)
